REPORTS TO: Chief Executive Officer
FLSA STATUS: Full-Time, Exempt, with Benefits

Summary of Position

The Program & Operations Coordinator supports the execution of key initiatives at the Pikes Peak Community Foundation (PPCF) by providing program management, scheduling, and administrative support. This position serves as the primary operations lead for the Our Spacious Skies regional visioning initiative, coordinating logistics, timelines, and materials related to this high-profile community engagement effort. The Coordinator also supports internal and external meetings, board functions, and affiliate group activities and/or events.

Essential Job Responsibilities

Program Management & Initiative Operations

  • Serve as the lead operations coordinator for Our Spacious Skies, overseeing all scheduling, logistics, task tracking, and deadlines
  • Support the CEO and/or other team members for public-facing events and appearances related to Our Spacious Skies, including ensuring timely submission of presentation materials and event logistics
  • Maintain initiative timelines, dashboards, calendars, and coordination with staff, consultants, and community stakeholders
  • Track deliverables and follow up with internal and external contributors to ensure initiative goals stay on schedule

Meeting & Event Planning

  • Plan and manage scheduling and logistics for meetings and events for Our Spacious Skies, including steering committees, stakeholder forums, and public events
  • Coordinate logistics, materials, and communications for PPCF Board and Board Committee meetings (meeting material packets, minutes, in-meeting logistics)
  • Organize and support events for the Professional Advisors Council and other affiliate or advisory groups
  • Liaise with venues, vendors, and attendees to ensure high-quality event execution

Administrative & Operational Support

  • Provide scheduling, agenda prep, and administrative support for PPCF leadership
  • Prepare meeting materials, take notes, track follow-ups, and manage related communications
  • Support development of reports, presentations, and other external-facing materials

Documentation & Reporting

  • Maintain accurate and accessible records for meetings, budgets, communications, and deliverables related to strategic initiatives
  • Assist with internal tracking and reporting for program milestones and board-related activities

Qualifications

  • Bachelor’s degree in relevant field; or equivalent years of comparable experience
  • 3–5 years of experience in program coordination, administrative operations, and event planning
  • Experience with Board and committee scheduling and record keeping including minutes preferred
  • Demonstrated ability to manage logistics and timelines for complex, public-facing projects and programs
  • Excellent organizational and time-management skills with strong attention to detail
  • Proficiency in Microsoft Office; experience with programs or event management software preferred

Physical/Mental Requirements

  • Must be able to sit for long periods of time
  • Involves periodic repetitive movement associated with keyboarding
  • Requires extreme attention to detail
  • Frequent pressures related to meeting deadlines and fulfilling scheduling requirements
  • Frequent distracting influences such as people, phone calls, noise, and so forth
  • Simultaneous handling of multiple tasks on a regular basis
  • Frequent intermittent or cyclical work pressures
  • Frequent irregularity of work hours and extended workdays, and evening meetings/events
  • Requires attendance at meetings on- and off-site and occasional travel
  • Occasional on-call availability to handle work problems, emergencies/crisis situations etc., at all hours

Work Environment

This position operates primarily in a quiet, well-lit, smoke-free office environment where temperatures are regulated. This is an in-person position in Downtown Colorado Springs. The successful candidate must be able to commute to the office daily.

Salary Range: $58,000 to $62,000
