REPORTS TO:          MANAGER OF PHILANTHROPIC SERVICES

STATUS:                    FULL TIME NON-EXEMPT   

SALARY RANGE:     $48,400 - $59,000                           

SUMMARY

The Philanthropic Services Associate is an essential role for the Community Foundation as they are responsible for maintaining the Foundation’s data and customer relationship management (CRM) systems. The Philanthropic Services Associate is vital to keeping the operations of the foundation organized and providing an excellent customer experience for PPCF fundholders. This position provides administrative services for the Philanthropic Services team and implements processes and systems for accurate data management to include grantmaking, gifts, and recordkeeping. This role has the most direct interaction with PPCF fundholders and must provide excellent customer service. Organizational skills are necessary as this person supports logistics for PPCF events.                                      

DUTIES

GIFT & GRANTS PROCESSING AND ADMINISTRATION

  • Process all checks and cash that comes to the Foundation.
  • Process and record all stock gifts.
  • Prepare gift acknowledgement letters.
  • Assist with audit prep to include reports for contributions and grants recorded.
  • Review and process all grants to include performing due diligence on grantees and administering grants under a spend policy.
  • Follow up with nonprofit organizations and fundholders for grant reporting and managing pledges.
  • Accurately and efficiently enter data into back-end accounting and grants management systems

FUNDHOLDER SERVICE & ADMINISTRATION

  • Provide excellent customer service and technical trouble shooting with fundholders.
  • Support PPCF staff by scheduling meetings with team members and fundholders.
  • Support PPCF staff by documenting important notes, minutes, and meetings in Customer Relationship Management system.
  • Support the Philanthropic Services team in creating and updating fundholder services operations documents and procedures, including creating best practices guidelines, policies, and standards.
  • Support Philanthropic Services team by administering grant processes through grant management portal.
  • Support Philanthropic Services team with stewarding Legacy Society members and starting a Professional Advisors (tax professionals, estate attorneys, financial advisors) Network.
  • Assist in establishing short and long-term fundholder engagement goals in conjunction with Philanthropic Services team.
  • Organize and support logistics for annual and fundholder education events
  • Process routine fundholder communications; Support the gathering of informational material including photos and other content for fundholder communications.

QUALIFICATIONS

  • Highly adept at data processing, handling a high volume of transactions with accuracy; Accuracy with numbers and basic math skills.
  • Experience with Customer Relationship Management (CRM) systems highly preferred.
  • Ability to read and interpret business, professional, or technical communications. 
  • Ability to write business correspondence and procedure manuals. 
  • Ability to effectively present information and respond to questions from internal and external stakeholders.
  • Proficient technology skills; advanced MS Office (Word, Excel, PowerPoint & Outlook).

EXPERIENCE

  • Minimum of three (3) years of experience in administrative or equivalent role.

You will also help plan and execute on fundholder and stakeholder engagement events with the Foundation.
